ParentPay with more than one child

You do not need a separate ParentPay account for each child. The whole point of the "add a child" feature is that one login can hold several children, even when they are at different schools, as long as those schools also use ParentPay. Each child comes with their own activation codes from their school, and you add them to your existing account one at a time.
This guide covers adding a second child, the rules for children at different schools, merging two accounts you already have, and how to keep it all straight once several children are sharing one login.
How do I add a second child to ParentPay?
Adding another child to an account you already have is quick:
- Log into your existing account at parentpay.com.
- Select Add a child.
- Enter the activation codes from that child's letter, exactly as written.
- Confirm the child's date of birth and continue.
That is it. The new child sits alongside your first on the same login, so you are not juggling two sets of credentials. ParentPay's add a person guide has the current steps. There is a cap on how many people one account can hold, and if you reach it ParentPay shows an error, but the limit is high enough that most families never come close.
Can I manage children at different schools on one login?
Yes, and this is genuinely useful when you have one child in prep and another at a senior school. ParentPay's cross-school login lets a single account hold children at several different ParentPay schools, so you log in once and see them all.
The one condition is that each school has to use ParentPay. If your younger child's school uses ParentPay but your older child's school uses a different system, you can only add the ParentPay child here and you will handle the other school separately. If a child moves to a new school that also uses ParentPay, you can keep the same account.
I have two ParentPay accounts already. Can I merge them?
If you ended up with two separate logins, perhaps one per child, you can merge them into one. Two things to do first:
- Make sure the account you are merging in has a zero Parent Account balance. If it has money in it, withdraw that before you merge.
- Be aware that once merged, the payment and statement history of the merged-in account can no longer be viewed, so download anything you need to keep.
Then log into the account you want to keep, choose Add a child, and instead of activation codes, enter the username and password of the other account. ParentPay's add a child or merge accounts guide sets out the exact steps.
What happens to my account when a child leaves school?
Your account does not disappear when a child changes school. If they are moving to another school that uses ParentPay, you can keep the same login and the new school is added to it, so you carry on without starting again.
The thing to remember is the money. Before a child leaves, ask the school to refund any remaining meal balance, and withdraw any Parent Account credit back to your bank, because it is much easier to sort while the school still has the account active. Can I pay for several children in one go?
Within ParentPay, each child has their own list of items and their own balances, so you work through each child in turn rather than paying one combined total. That is by design: a trip for your eldest and dinner money for your youngest are separate things the school is tracking separately.
What having everyone on one login saves you is the signing in and hunting around. You log in once, move between your children, and clear what is outstanding for each, instead of logging in and out of separate accounts. It is the difference between one sitting and several.
If both parents need to pay, it is worth agreeing who holds the ParentPay login, or asking the school how they handle a second payer, so two of you are not topping up the same child's balance without realising.
How do I keep several children straight once they are added?
